Corporate photographer quote: the complete guide (template included)

10 October 2026

You’ve just spent 45 minutes on the phone with a communications manager at a large company. The brief is clear, the project is interesting, the budget is there. You send your quote. Silence. You follow up. They reply that they’ve gone with another photographer.

It wasn’t necessarily your price that lost you the deal. It may well have been your quote. A poorly structured document, missing information, a generic PDF with no identity — and the client goes with whoever looked the most professional on paper.

A quote is your first deliverable

The common thread of this article: before you’ve even shown a single photo, your quote tells the client how you work. Are you thorough? Do you think of everything? Will you be reliable on the day?

A corporate client — marketing director, events manager, communications project lead — is used to receiving quotes from suppliers. They read fast and they compare. A clear, complete, well-presented quote doesn’t just inform: it reassures. And in B2B, reassuring is selling.

What a corporate photographer’s quote must contain

Mandatory legal information

  • Your full details: name/company name, address, SIRET number, intra-EU VAT number if applicable
  • The client’s details (company name, billing address)
  • The quote’s date of issue
  • The validity date (without it, your quote is valid indefinitely — that’s a risk)
  • The quote number (important for your accounts and tracking)
  • Payment terms (deposit, balance, payment deadline)
  • Late payment penalties (a legal requirement in B2B in France)

Essential business details

  • A precise description of the service: event type, date, venue, shooting time
  • Number of photos delivered (guaranteed minimum)
  • Delivery time
  • Delivery format (online gallery, USB stick, WeTransfer…)
  • Level of retouching included (selection + colour correction, or advanced retouching)
  • Usage rights granted (media, duration, territory)
  • Additional costs included or excluded (travel, parking, accommodation)

The lines photographers forget

Usage rights — the most often forgotten line

Under French law, you remain the author of your photos even after delivery. The client may only use them within the scope explicitly defined in the contract. If this line is missing from your quote, you have no recourse if your images end up on a billboard when you had only planned for web use.

A simple wording to include: “Assignment of image usage rights for [digital / print / all media] use, territory [France / worldwide], duration [1 year / 3 years / unlimited], on a non-exclusive basis.”

The cancellation clause

Without this clause, if the client cancels the day before the event, you have no legal basis for invoicing anything at all — even if you blocked out the day and turned down other assignments. A standard example:

  • Cancellation more than 30 days before: 50% of the deposit refunded
  • Cancellation between 15 and 30 days before: deposit retained in full
  • Cancellation less than 15 days before: 50% of the balance due in addition to the deposit

The validity period

Without an expiry date, your quote is legally valid with no time limit. A client could theoretically accept a quote issued 18 months ago at outdated rates. Always state a validity period: 30 days is the standard in B2B.

Costs not included

Better to list them explicitly than to create friction mid-assignment. A line such as “Costs not included: travel beyond 30 km, accommodation if required, printing or finishing” avoids surprises — and bad reviews.

How to structure your quote to maximise conversion

The order of information

The client reads in this order: who you are → what you’ll do → what they’ll receive → how much it costs → what happens if things go wrong. Structure your quote in that order, not in the order that suits you administratively.

Price anchoring: offer 2 or 3 options

One price = the client compares you with your competitors. Two or three options = they compare your offers with each other. It’s one of the most effective conversion levers in B2B.

  • Essential: half day, 30 retouched photos, web rights for 1 year
  • Pro: full day, 80 retouched photos, web + print rights for 2 years (highlighted option)
  • Premium: full day + 2 hours of advanced post-production, 100 photos, unlimited rights across all media

In most cases, the client chooses the middle option. And if you position it as your “recommended” offer, you steer them without pushing.

Visual presentation

A photographer who sends an ugly quote is at odds with what they’re selling. Use a template in your brand colours, with your logo, a legible font and generous spacing. Your quote should look like a premium deliverable, not a tax form.

Classic mistakes that lose you deals

  • Badly named PDF: “quote (2).pdf” in the client’s inbox looks amateur. Name your file: “Quote_ImagesdAzur_ClientName_2026.pdf”
  • No expiry date: see above — legal risk and loss of credibility
  • Sending the quote without a covering email: always include a short message summarising the key points, inviting questions and setting out the next step
  • Price with no breakdown: a single overall figure creates anxiety. Break it down into readable lines, even if the total is the same
  • No planned follow-up: if you haven’t had a reply after 5 days, follow up. Once is often enough
  • Spelling: one typo in a €1,500 quote destroys your credibility instantly. Use a spell checker such as Antidote or have someone proofread it

Tools to create, send and track your quotes

Indy (formerly Fred de la Compta)

The tool most widely used by French freelancers. Quotes, invoices, payment tracking, URSSAF (social security) declarations. Simple interface, reasonable price (~€9/month). Ideal if you want to centralise everything without an accountant.

Honeybook / Dubsado

CRMs designed for creative freelancers. Quotes, contracts, online payments, automatic reminders. More comprehensive than Indy but more expensive and English-only. Worth it if you have a high volume of clients and want to automate follow-up.

Canva Pro + manually signed PDF

The simplest solution to get started. You create a template in your brand colours on Canva, export it as a PDF and send it by email. The client signs, scans and sends it back. No automated tracking, but more than enough for up to around twenty quotes a year.

Yousign or DocuSign

For legally binding e-signatures. Handy if you work with clients who aren't used to scanning, signing and returning documents. Yousign has a free plan for up to 5 documents a month.

How to follow up without sounding desperate

You send the quote on a Tuesday. No reply after 5 days. Most photographers don't dare follow up — for fear of seeming pushy. That's a mistake. In B2B, a follow-up is expected and respected.

The right timing: follow up after 5 or 7 days, not before. A single email, short, with no excessive justification.

Example: "Hello [First name], I'm getting back to you regarding the quote sent on [date]. Please don't hesitate if you have any questions or would like to adjust any elements. I'm available to discuss it at your convenience. Kind regards."

No apologies, no "I know you're busy", no pressure. Just a professional presence. If there's still no reply after 15 days, you can send one last message pointing out that the offer expires soon — then move on.

FAQ — the real questions about photography quotes

When should you send a contract as well as the quote?

A signed quote has contractual value if it contains all the essential clauses (description of the service, price, cancellation terms, usage rights). For small assignments (under €500), a signed quote is generally enough. For major assignments, or clients you're working with for the first time, a separate contract is recommended — in particular to protect your copyright and to manage changes to the brief during the assignment.

Signed quote = purchase order?

Yes, under French law a quote signed with the words "bon pour accord" (approved and accepted) constitutes acceptance of the contract. Some major accounts will nonetheless require their own internal purchase order in addition to your signature. In that case, check that the terms of their purchase order don't contradict yours — particularly regarding usage rights and payment terms.

What should you do if the client changes the brief after signing?

Any substantial change to the brief (duration, venue, number of people to cover, use of the images) justifies an amendment to the quote. Never say "no problem" verbally and quietly absorb the change — you're creating a habit that will cost you dearly. Standard wording: "No problem, I'll prepare an amendment to reflect these changes and get back to you later today."

Should you mention VAT on a quote as a micro-entrepreneur?

If you're exempt from VAT (a French micro-business below the thresholds), you must include the statement: "TVA non applicable — article 293 B du CGI" (VAT not applicable under article 293 B of the French Tax Code). Without it, the client could demand an invoice with VAT shown separately. If you're VAT-registered, state the rate clearly (20% for services in France).

Can you refuse to disclose your cost breakdown?

Yes. You have no legal obligation to justify how you arrive at your price. The quote describes what the client receives and what they pay — not your internal costs. To set fair prices, see our guide to event photography rates. — not your internal cost structure. If a client insists on knowing your "margin", it's a sign the relationship will be complicated. A professional quote breaks down the value delivered, not your overheads.

Conclusion: the perfect quote doesn't exist, the professional quote does

There's no universal format — and if you're hesitating between a freelancer or a photo agency, we have a guide for that too. — every photographer has to adapt their quote to the way they work, their clientele and their positioning. But there are mistakes that cost you assignments, and best practices that convert.

The template above is a starting point. Customise it in your colours, adapt the clauses to your situation and, above all — send it quickly. A quote sent within 24 hours of a call converts 3 times better than one sent 5 days later.
